Byki (acting as data processor on your behalf as the account owner) engages the following sub-processors to deliver BYKI Notetaker. Byki follows an EU-first principle — the entire processing chain (hosting, transcription and meeting-note generation) runs within the EU, with no US providers in the chain. The meeting bot, the recording and our fallback transcription server (faster-whisper in Gothenburg, Sweden) run on our own self-hosted EU infrastructure and are therefore not third-party sub-processors. This list forms part of the Data Processing Agreement (DPA).
| Sub-processor | Function | Data processed | Region |
|---|---|---|---|
| Strato | Hosting & database | All service data | EU (Germany) |
| OVHcloud (AI Endpoints) | Speech-to-text (primary) & meeting-note generation (LLM — primary model) — contractually prohibited from using customer data for model training | Meeting audio (for transcription); transcript text | EU (France) |
| Mistral AI (la Plateforme) | Meeting-note generation (LLM — fallback model, used only when the primary is unavailable) — no training on customer data | Transcript text | EU (France) |
| Sign-in, calendar read & Google Docs delivery (if selected) — only with your consent | Identity, calendar metadata, delivered notes | Per your choice | |
| Microsoft | Sign-in, calendar read & Word delivery (if selected) — only with your consent | Identity, calendar metadata, delivered notes | Per your choice |
| Notion | Note delivery — only if you connect Notion yourself; storage in your Notion workspace is your own arrangement with Notion, not our processing or storage | Delivered notes | Per your configuration |
| Slack / Microsoft Teams / webhooks | Note delivery to endpoints you configure (if selected) | Delivered notes | Per your configuration |
| Stripe | Payment & VAT | Invoice & payment data | EU entity (DPA) |
| Brevo | Transactional email & note delivery | Recipient email, delivered notes | EU (France) |
Note on data residency: the meeting bot and the recording are
self-hosted and stay on our own EU infrastructure — no third party receives that data.
Transcription runs primarily at OVHcloud (France, EU); if it fails, our own server in
Gothenburg, Sweden (faster-whisper — own infrastructure, not a sub-processor) takes over.
Meeting notes are generated at OVHcloud AI Endpoints in France (EU) as the primary model; if
that is unavailable, Mistral AI (la Plateforme, France, EU) takes over as fallback, with our
own Swedish server as last resort. Neither OVHcloud nor Mistral AI uses customer data to
train AI models. No step
in the processing chain routes data outside the EU. Card details are handled by Stripe and
never stored by us (PCI SAQ-A). The Data Processing Agreement is available at
notetaker.byki.app/dpa, or contact
privacy@byki.app [VERIFIERA: contact address].
